Appointment Cancellation and Applicable Cancellation Fees

Let’s start with a typical cancellation message that was left over night in our voice box:

Beep” .” Hello, I  am  Mr. Patient, I  am  calling to cancel my appointment tomorrow  morning at 9:00 am with Dr. Treatment..  I  have  an   emergency  to take  my  cat shopping.  I hope this will give you enough notice to find another patient to fill the slot.” Sunday 10:35 pm.

Your appointments at the office are  intended to provide you with  professional  treatments or therapies by one of our professional team of  therapists. The appointments  take time, effort and commitment from all of us at the clinic, both therapists and front desk staff,  to satisfy  you with better health. The appointments are assigned a specific length of time and honored as specified.

Your appointments are defined as, “the specific time reserved from  the office schedule for you  with your Naturopathic Doctor, your therapist or with the office staff  at a specific date and a specific time for  that date”.  We realize that you would devote time to travel and attend your appointment and expect us to honor  this commitment to you.  The person with whom you have the appointment  has also devoted  time and committed to be present when you arrive at the clinic,  keep the appointment open and available for you, and  abandon all personal commitments and emergencies to honor your appointment.

We expect  the same courtesy from you towards your appointments and towards the person whom you have the appointment with; therefore, we expect all our patients, no exceptions, to honor their appointments. On the other hand, should an emergency arise, then we expect your  courtesy to take a few minutes to call us immediately to cancel the appointment so that the time slot can be given to another valued patient.  Due to increased demands and extensive waiting lists, we hope that you will take time to notify us of any changes. Should you neglect to call for cancellation as specified below, then you are expected to honor the value of the therapist’s time.

Cancellation Fees are applicable on the following:

  • No Show will be charged 100% of all missed appointments
  • Cancellation with less than 48 hours will be charged 50% of all missed appointments
  • Cancellation the day of the appointments will be charged 50% of all missed appointments

Method of Appointment Cancellation

At least 48 hours prior to your appointment you must use one of the following manners for Toronto, Caledon East, Cornwall and Over seas:

Toronto Office

-For appointments scheduled on Monday morning, the cancellation must be done during our business hours on Saturday

– For appointments scheduled on a day preceded with a holiday, the cancellation must be done during our regular business hours on the working day preceding the holiday with more than 48 hours prior to your to the appointment, you may use one of the following methods to advise us of your cancellation:

Cornwall Appointment Cancellation

Due to distance and time availability, Cornwall appointment cancellation notice must be given in writing, during our business hours, more than fourteen days before the scheduled appointments and services to grant no cancellation fee. Other wise, the following cancellation fees apply:

  • No Show, in this case and similar cases there will be a full charged 100% of all missed appointments and services
  • Cancellation notice the day of the appointments. In this case and similar cases there will be charged 100% of all missed appointments and services
  • Cancellation notice with less than fourteen days before the appointment will be charged 50% of all missed appointments and services
  • Cancellation notice with less than seven days before the appointment will be charged 75% of all missed appointments and services

Overseas appointments Cancellation

Due to flight arrangement, airline ticket cost, distance and availability;

overseas appointment cancellation notices must be given in writing, during our business hours, more than thirty (30) days before the scheduled appointments and services to grant no cancellation fee. Other wise, the following cancellation fees apply:

  • No Show or patient remains at the hospital or permission was not given from hospital management or factors pertaining to your inability to attendetc., while the doctor arrives at destination. There will be 100% charge of all missed appointments, services and value of treatment days
  • Cancellation notice the day of the appointments, such as the doctor arrives to start treatment and the patient’s had to remain at the hospital, or hospital officials do not give permission for treatment or patient is not available, while the doctor is already overseas. There will be 100% charge of all missed  appointments, services and value of treatment days
  • Cancellation notice given between twenty one (21) days to thirty (30) days before the appointment will be 25% charge of all missed appointments, services and value of treatment days
  • Cancellation notice given between eleven (11) days to twenty (20) daysbefore the appointment will be 50% charge of all missed appointments, services and value of treatment days
  • Cancellation notice given between four (4) days to ten (10) daysbefore the appointmentwill be 75% charge of all missed appointments, services and value of treatment days
  • Cancellation notice given between one (1) day to three (3) daysbefore the appointmentwill be 90% charge of all missed appointments, services and value of treatment days
